Job Title: Finance & Admin Assistant
Reports to: Business Manager
Work Term: September 1, 2026–September 30, 2027 (13-month term)
Work Hours: Flexible, up to a maximum of 20 hours per month based on operational needs. Staff are expected to work from The Meliorist’s on-campus office for a minimum of 10 hours per month.
Compensation: $17–$22/hour, dependent on experience.

Position Description
The Meliorist is seeking a dependable, detail-oriented Finance & Administrative Assistant to support the financial and administrative operations of the Society.
Working under the supervision of the Business Manager, the Finance & Administrative Assistant will assist with bookkeeping, expense processing, reconciliations, financial recordkeeping, budget monitoring, and general administration. The position also supports the preparation of financial information for management and the Board of Directors.
The successful candidate will be organized, comfortable working with numbers and spreadsheets, and able to handle confidential information responsibly.
This position provides hands-on experience in bookkeeping, financial administration, nonprofit operations, and organizational management. Training, mentorship, and professional development opportunities will be provided.
Key Responsibilities
- Assist with bookkeeping and record financial transactions in accounting software.
- Prepare and process invoices, payments, expenses, and reimbursements.
- Assist with monthly bank and account reconciliations.
- Maintain accurate and organized financial records and supporting documentation.
- Assist with budget monitoring and preparation of financial reports for management and the Board of Directors.
- Support data entry, document management, and general administrative functions.
- Identify discrepancies and communicate financial or administrative concerns to the Business Manager.
- Identify opportunities to improve administrative and financial processes.
- Handle confidential financial and organizational information with appropriate discretion.
- Communicate regularly with the Business Manager and maintain required on-campus office hours.
- Represent The Meliorist professionally and uphold its commitment to accountability and responsible financial stewardship.
Qualifications & Skills
The ideal candidate will demonstrate:
- Strong attention to detail and organizational skills.
- Familiarity with basic bookkeeping or accounting principles.
- Strong proficiency with Microsoft Excel or comparable spreadsheet software.
- Comfort working with numbers, financial records, and administrative documentation.
- Ability to handle confidential information responsibly.
- Strong time-management and communication skills.
- Ability to work independently and collaboratively.
- Professionalism, reliability, and sound judgment.
- Initiative and an interest in improving organizational processes.
- Openness to feedback and professional development.
Experience with bookkeeping, accounting software, budgeting, financial administration, or nonprofit operations is considered an asset but is not required.
Students studying Accounting, Finance, Management, Business, Economics, or related disciplines may find this position particularly relevant; however, students from all academic disciplines are encouraged to apply.
